Privacy Policy
This policy explains how the D W Martin, LLC corporate website handles information.
Effective September 2, 2026
Overview
This Privacy Policy applies to the D W Martin, LLC corporate website at www.dwmartinllc.com. It describes what information the website handles, why, and who processes it.
The website is primarily informational. You can read every page without providing any information about yourself. The only information the company receives through this website is what you choose to send through the website contact form.
This policy covers the corporate website only. It does not govern consulting engagements, customer environments, or products, which are handled under their own agreements and customer requirements.
Information you provide
If you submit an inquiry through the website contact form, the company receives the information you choose to enter:
- your name
- your business email address
- your organization, which is optional
- a reason for contact, selected from a short list
- your message
- an acknowledgment that the information will be used to respond
That is the complete list. The form does not ask for a phone number, a postal address, a job title, payment information, or any account credentials, and it does not accept file attachments. You are not required to provide an organization in order to contact the company.
Submitting the form is voluntary. If you prefer not to provide this information, you can still read the website, though the company will not have a way to receive or answer an inquiry through this mechanism.
How the company uses this information
D W Martin, LLC uses the information you submit to review your inquiry, understand what you are asking about, respond to you, and carry on the business conversation that follows. The reason for contact you select is used to understand the nature of your inquiry. It is not used to make an automated decision about you.
Inquiries are read by the company. Submitting the form does not subscribe you to a newsletter, a marketing list, an automated campaign, or any other recurring communication, and no automatic confirmation email is sent. The information is not used to build a marketing profile, and it is not used to train artificial-intelligence models.
No sale of personal information
D W Martin, LLC does not sell personal information submitted through the corporate website.
The company does not share this information with advertisers, data brokers, marketing partners, or social networks, and does not use it for third-party advertising.
The contact form and business correspondence
When the contact form is available and you submit an inquiry, it is transmitted over an encrypted connection and processed using infrastructure provided by Amazon Web Services (AWS). The inquiry is then delivered as email to the company's business email environment, which is currently hosted by Bluehost.
The website contact system does not create a separate database of website inquiries. That does not mean no copy is kept. Your inquiry arrives as business email, and that email may be retained as part of the company's normal business correspondence. Any later exchange with the company is ordinary business email as well.
Because an inquiry becomes business email, it is not end-to-end encrypted, and it should not be treated as a secure channel for confidential material. This is one reason the form asks you not to send sensitive information.
Service providers
D W Martin, LLC uses service providers to operate the website and its business email environment. Those providers process information as part of providing those services. For the website contact path, they are:
- Amazon Web Services (AWS) — infrastructure used to receive and transmit a contact-form submission
- Bluehost — the company's current business email environment, which receives and holds the resulting email
These are ordinary vendor relationships. Each provider operates under its own practices and its own privacy policy, which this policy does not restate. Providers of this kind may operate facilities in more than one location.
Cookies, analytics, and tracking
The website does not currently use cookies for analytics, advertising, personalization, or the contact form, and it does not create a visitor session or a visitor account. It does not currently use web analytics services, advertising trackers, tracking pixels, conversion tags, or behavioral advertising technologies, and it does not build behavioral profiles or track visitors across other websites.
The website runs no client-side scripts and loads no third-party fonts, scripts, embedded content, or social widgets. If the company later adopts any technology of this kind, it will be through a deliberate decision and this policy will be updated to describe it.
Technical information and logging
The contact system is designed not to write the contents of your message, or the name, email address, and organization you submit, into its application logs. Those logs record whether a submission succeeded or failed, a reference identifier, and the category of any failure, so the system can be operated and troubleshooted.
Limited technical logs still exist. Hosting, content delivery, email, and network providers generate ordinary technical records as part of delivering and protecting any website, and those records can include network information such as IP addresses. The company does not control every such record, and this policy does not attempt to describe each provider's internal operations.
How information may be shared
Beyond the service providers described above, D W Martin, LLC may disclose information submitted through the website only where reasonably necessary to:
- respond to your inquiry and conduct the resulting conversation;
- protect the company, the website, its systems, or its users, including investigating abuse or preventing fraud;
- comply with applicable law, legal process, or a valid governmental request;
- support a legitimate business transaction such as a reorganization, merger, investment, or transfer of business operations, subject to applicable obligations.
Listing these does not mean any of them has happened. A transfer of business records as part of a corporate transaction is not a sale of personal information, and the company's position on selling personal information is stated above.
Retention
Because an inquiry is delivered as business email, it may be retained for as long as it remains useful for the business conversation, for ordinary recordkeeping, or to meet legal or operational needs. D W Martin, LLC has not adopted a fixed retention schedule for business correspondence, and this policy does not state one rather than publish a period the company does not actually apply.
The operational logs described above are kept for a limited period and do not contain the contents of your inquiry.
Security
D W Martin, LLC uses reasonable technical and organizational safeguards appropriate to this website and its contact capability. These include encrypted transmission, validation of submissions on the server, limits on what may be submitted, restricted permissions for the contact system, collecting only what is needed to respond, keeping message content out of application logs, and technical controls that protect the contact system from automated abuse.
No method of transmission or storage can be guaranteed to be completely secure, and the company does not claim otherwise.
Sensitive and healthcare information
Please do not use the website contact form to send patient information, protected health information (PHI), passwords, payment or financial account information, Social Security numbers, or other sensitive personal information.
D W Martin, LLC works in healthcare technology, and a visitor could reasonably wonder whether this form is a healthcare channel. It is not. The form is a general business inquiry channel on a corporate website. It is not a patient, clinical, or care-related communication channel, it is not represented as HIPAA-compliant, and the company does not provide healthcare services through this website.
A message field accepts whatever text a visitor types, so the company cannot prevent sensitive information from being submitted. That is why the instruction matters: please do not send it.
Information submitted through this website is not added to any product dataset and is not combined with customer operational data.
Children's privacy
This website is intended for business and professional audiences. It is not directed to children and is not designed to collect information from them.
Changes to this policy
This policy may be updated as the website changes, as the company's data practices or service providers change, or as legal requirements evolve. When a material change is published, the date on this page will be updated. Because the website does not maintain visitor accounts or mailing lists, the company cannot notify visitors individually about a change to this policy.
Privacy questions
If you have a question about this policy, or about information you submitted through this website, please contact D W Martin, LLC through the contact page and select "Other" as the reason for contact. The company will consider questions and requests in light of the information it actually holds and any applicable obligations.
